Winning Back Customers Through Recalls Starts with Finding Them

Ask any Fixed Ops Director what stands between their service lane and a booked-out calendar of recall work, and you’ll hear about parts availability, technician capacity, or customer apathy. Rarely will you hear the real answer: they don’t actually know who owns the car.
In an era of abundant data, it is a brow-raising dilemma. Between the DMS data, the OEM data, and service history documentation, dealerships have no shortage of vehicle owner records. Of course, quantity is not directly correlated to quality. Ownership information may be stale or incomplete.
Recalls offer a compelling reason to welcome a customer back into the fold. You just have to identify who they are first.
Recapture Through Recalls
Recalls can often be the first meaningful conversation that brings a customer back into the dealership.
More than 28 million affected passenger vehicles and light trucks/vans were accounted for in recalls mandated by the National Highway Traffic Safety Administration (NHTSA) in 2025. This has created millions of opportunities to reconnect and assist customers.
That’s what makes recalls unique. It is a rare occasion when a customer can turn up for a repair free of charge from the dealership.
However, many recall campaigns never reach the customer they’re intended for because ownership data has often evolved since the last touchpoint. Dealership records are prone to inaccuracies every time a vehicle changes hands. Furthermore, this may result in dealer marketing dollars providing an underwhelming return on investment.
Bad Data Doesn’t Just Waste Marketing Dollars
According to a 2025 NADA report, service and parts generated over $156 billion in 2024, making every missed service customer more expensive than ever to lose. Marketing teams spend enormous effort building campaigns, but no campaign can outperform bad data.
When it comes to collecting strong data, dealers face several obstacles in tracing vehicle ownership movement year after year. Trade-ins, private sales, and inheritance are just a few of the common lifecycle transactions that occur through non-dealership channels. To add to the challenge, vehicle lifespan has climbed to an average of 12.8 years, in accordance with a 2025 S&P Global Mobility analysis. Combined, these elements put dealership databases in jeopardy of losing a real-time pulse on their customer lifeline.
Meanwhile, dealership databases often remain static. To compensate for slow customer traffic, dealers may default to targeting new leads. However, rekindling existing customer relationships can be just as valuable.
In order to verify data, dealers must reconcile OEM and dealership records with a cross-section of external data sources.
With success, what is achieved is a living customer database that reflects who’s actually behind the wheel today and not who purchased the vehicle five years ago.
Reengage with Recall Communication
What’s more likely to bring a customer back into your service lane: a generic recall notice or a personalized recall communication driven by customer preferences?
Once ownership data has been verified, the conversation pivots to how to approach.
There are several characteristics that distinguish recalls from promotional consumer notifications. First and foremost, recalls are a safety issue to be remedied between OEMs and certified service programs. Additionally, dealers must honor and abide by consumer privacy requirements and opt-in policies in their outbound communications.
Moving forward, an invitation to resolve recalls can be extended to vehicle owners. By analyzing customer identity, tailored communications can be constructed in order to maximize the success of a customer response.
For example, a first-time vehicle owner may respond best to a mobile-friendly text message explaining the safety implications of a recall and providing a simple scheduling link. A long-time customer who has consistently serviced at the dealership may appreciate a personalized email from their service advisor combined with a follow-up phone call.
The message remains the same, but the delivery changes based on what the data reveals about the customer.
After the recall is complete, dealers should take the opportunity to focus on long-term reengagement. Consistent maintenance reminders, service decline campaigns, and connected vehicle alerts are just a few ways to maintain a long-term customer relationship.
